How to modernize systems and grow business? Legacy Garage 1

00:15 → 00:17

Welcome to Legacy Garage by Merixstudio.

00:17 → 00:21

In this series, we present different ways of dealing with the most common

00:21 → 00:23

challenges of software modernization.

00:23 → 00:26

I'm Jagoda, Senior UX Designer at Merixstudio.

00:26 → 00:29

And I'm Dawid, Software Architect at Merixstudio.

00:29 → 00:33

In this episode, we are going to show you how to adjust your

00:33 → 00:36

digital product to changing market needs.

00:36 → 00:38

And don't worry, it won't be just a theory.

00:38 → 00:41

The basis for this video is our ad tech experience,

00:41 → 00:46

and we will explain everything using an elearning platform as an example.

00:46 → 00:47

So what's the case?

00:47 → 00:51

The product is an elearning platform dedicated to around

00:51 → 00:53

three hundred thousand registered schools with almost

00:53 → 00:55

fifteen million active users.

00:55 → 00:58

It's created by company that's been one of the EdTech market

00:58 → 01:00

leaders for around eight years.

01:00 → 01:03

The main functionalities are about creating and solving

01:03 → 01:05

tasks, conducting group classes,

01:05 → 01:08

measuring progress and presenting statistics for each

01:08 → 01:10

tasks, group and the whole school.

01:11 → 01:14

The company understands the need for implementing new

01:14 → 01:18

technologies as their systems start becoming more and more outdated.

01:18 → 01:19

On the other hand,

01:19 → 01:22

they also seize the opportunity for business growth.

01:22 → 01:25

Education is changing and nowadays it's not limited only

01:25 → 01:27

to schools and universities.

01:27 → 01:31

To keep up with the market space and not stay behind the competition,

01:31 → 01:35

the company needs to scale up and open itself for new customers.

01:35 → 01:39

But of course, there are lots of challenges associated with this process.

01:39 → 01:41

What's not working as it should be?

01:41 → 01:44

Let's look under the hood and find out.

01:44 → 01:47

To identify the main challenges, find solution,

01:47 → 01:49

and prepare a modernization road map,

01:49 → 01:52

we need to follow a few steps of the predevelopment process.

01:52 → 01:55

Firstly, we focus on the project discovery stage.

01:55 → 01:58

What we usually do to make the process of diving into existing

01:58 → 02:02

products domains easier is overall product analysis.

02:02 → 02:05

That means, for example, conducting some sort of audit,

02:05 → 02:08

which is a review of the current interface and general

02:08 → 02:12

user experience and comparing it with industry standards.

02:12 → 02:14

We also try to use as much knowledge as we can from people

02:14 → 02:18

that interact with the tool the most by conducting in-depth

02:18 → 02:21

interviews with users or for example customer success

02:21 → 02:25

representatives that mostly are aware of challenges that

02:25 → 02:27

user meet the most.

02:27 → 02:30

This step helps us point out the main business design and

02:30 → 02:32

technical challenges.

02:32 → 02:34

Let's start with the business part.

02:34 → 02:37

The main business challenge is to determine the new brand identity.

02:37 → 02:38

As you already know,

02:38 → 02:41

the elear elearning platform is no longer meant only for

02:41 → 02:43

schools and universities.

02:43 → 02:46

The modernization goal is to reach new clients from from

02:46 → 02:50

different industries like corporate customers or federal agencies.

02:50 → 02:53

So the company needs to create and implement one consistent

02:53 → 02:56

brand for communicating all new functionalities.

02:56 → 03:00

What's important in introducing a new brand identity is keeping

03:00 → 03:03

in mind the current product audience.

03:03 → 03:06

Some of the changed interface components crucial for the

03:06 → 03:10

current product like dashboards or payment and transaction

03:10 → 03:13

screens are prepared in multiple versions each modified

03:13 → 03:16

gradually to make sure rebranding will not impact

03:16 → 03:19

existing users mental models and habits.

03:19 → 03:22

Another challenge is to set direction for the product development.

03:22 → 03:26

Of course, we need to have in mind the current users needs.

03:26 → 03:28

We are adding new functionalities,

03:28 → 03:31

but schools are still an important part of the product strategy.

03:31 → 03:32

On the other hand,

03:32 → 03:36

we also have to set the path for achieving the long term

03:36 → 03:38

goal, expanding the audience.

03:38 → 03:40

On the technical side,

03:40 → 03:42

the biggest challenge was separating the elearning

03:42 → 03:45

content from the learning management system.

03:45 → 03:48

The application was created when there was no primary

03:48 → 03:51

elearning interoperability standard on the market.

03:51 → 03:54

Therefore, it contains many different capabilities,

03:54 → 03:57

like the content management system, authoring tool,

03:57 → 04:01

activity assessment, learning record store, schools,

04:01 → 04:04

classes and student management, analytics and reporting in one

04:04 → 04:08

platform created around one type of learning content.

04:08 → 04:12

Unfortunately, this approach does not allow the solution to adapt new

04:12 → 04:16

elearning content without extensive development efforts.

04:16 → 04:18

The second significant challenge is the poor

04:18 → 04:22

performance of the learning record store and analytic tools

04:22 → 04:25

that jeopardizes learning performance metrics.

04:25 → 04:28

Without proper feedback about gaps in skills or knowledge,

04:28 → 04:32

student doesn't have much chance to improve themselves.

04:32 → 04:35

Okay. So we've identified the main challenges of the project.

04:35 → 04:39

Now let's focus on how to bring ideas into life.

04:39 → 04:42

What are solutions for modernizing this legacy e learning system?

04:42 → 04:46

There are a few key actions we need to take in order to set

04:46 → 04:48

the modernization roadmap.

04:48 → 04:50

From the UX perspective,

04:50 → 04:53

we conduct the usability audit of the learning platform.

04:53 → 04:57

The aim is to understand the product better and indicate

04:57 → 04:59

the areas for improvement.

04:59 → 05:02

We also prepare a deep ad tech market analysis to better

05:02 → 05:04

understand the industry trends.

05:04 → 05:07

At this step, we also conduct an extensive competition

05:07 → 05:11

analysis which takes a form of a report gathering insights

05:11 → 05:14

from the edtech industry which says direct and indirect

05:14 → 05:17

competence functional benchmarking.

05:17 → 05:20

The primary goal of this kind of report is to diverge the

05:20 → 05:24

vision of future product shape and ideate about

05:24 → 05:27

the potential long term product development milestones.

05:27 → 05:29

After completing these steps,

05:29 → 05:32

we can move on to planning the future vision.

05:32 → 05:36

Here we focus on creating the wireframes that are an outcome

05:36 → 05:38

of the creative workshop sessions.

05:38 → 05:39

During these sessions,

05:39 → 05:42

armed with feasibility audit outcomes and the potential

05:42 → 05:45

features and services researched during the trend

05:45 → 05:49

analysis, we are able to converge ideas and shape them

05:49 → 05:52

into more precise interface and UX recommendations.

05:52 → 05:56

The goal is to visualize the functional solutions which we

05:56 → 05:59

point out during the current state analysis.

05:59 → 06:01

The technical solution to paints that the platform had

06:01 → 06:04

had was simple and complex at the same time.

06:04 → 06:08

We needed to define proper boundaries in the system and do

06:08 → 06:11

a few strokes with the plasma cutter.

06:11 → 06:14

We also had to separate these newly created components and

06:14 → 06:17

apply the best solution for a particular purpose.

06:17 → 06:20

To understand how much effort will be required,

06:20 → 06:23

we conduct a detailed technology consisting of source

06:23 → 06:28

code, database, infrastructure, and architecture review.

06:28 → 06:29

Then armed with that knowledge,

06:29 → 06:33

we can define new architecture including industry standards

06:33 → 06:35

and robust components.

06:35 → 06:39

For the LMS part, we add LTI and xAPI standards

06:39 → 06:43

to allow interoperability with different elearning content.

06:43 → 06:47

In addition, we extract the learning record store to a separate service to

06:47 → 06:51

enable easier integration with performance and reporting tools.

06:51 → 06:55

This focus on the standard and responsibility separation gives

06:55 → 06:58

us a free hand for solutions used to create and publish a

06:58 → 06:59

learning content.

06:59 → 07:01

Content creators will not be forced to use only one

07:01 → 07:05

authoring tool, and by using third party solutions,

07:05 → 07:07

we can reduce maintenance on our side.

07:07 → 07:10

However, this doesn't block us from creating our own learning

07:10 → 07:13

content management system for unique content.

07:13 → 07:17

Every part of the application can evolve independently.

07:17 → 07:17

Okay.

07:17 → 07:21

So that's how we find faults and prepare a detailed repair plan.

07:21 → 07:24

By following the steps of the predevelopment process,

07:24 → 07:27

we can be sure modernization will run smoothly.

07:27 → 07:28

Hope you liked it.
